Ignitiony (ABN 30 653 645 633) (Ignitiony, we, us or our) is committed to protecting your privacy. This policy explains how we collect, use, disclose and protect personal information, and how we comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who this policy covers

This policy applies to personal information we handle about:

  • Website visitors who browse ignitiony.com or contact us through it;

  • Clients and prospective clients, and their staff, who enquire about or use our services; and

  • Business contacts whom we contact on behalf of our clients as part of the managed outbound campaigns we run for them.

2. What is personal information

Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. We focus on business and professional information and do not seek to collect sensitive information (such as health, racial or political information). Please do not send us sensitive information unless we specifically ask for it.

3. Information we collect from website visitors and clients

Depending on how you interact with us, we may collect:

  • your name, business email, company name, role and phone number;

  • the content of enquiries, messages or bookings you send us, including through forms or an AI chat assistant;

  • information needed to provide and administer our services to a client, including billing and account details; and

  • technical and usage information collected automatically, such as IP address, device and browser type, pages viewed and referring pages, gathered through cookies and analytics (see our Cookies Policy).

4. Information we handle on behalf of clients (prospect data)

A core part of our service is running outbound campaigns for our clients. To do this, we compile and use business contact information about individuals at organisations that match a client's ideal customer profile. This typically includes a person's name, job title, business email address, employer and public professional profile.

This information is drawn from publicly available sources and reputable third party business data providers, and is used for the legitimate business purpose of relevant, professional outreach on behalf of our client. When we run a campaign, we do so on the client's instructions under a written services agreement. We handle this information appropriately, keep it secure, and honour opt out and unsubscribe requests promptly.

5. How we collect information

We collect information directly from you (for example when you complete a form, email us, or engage us), automatically when you use the site (through cookies and analytics), from our clients (in relation to a campaign), and from third party data sources and publicly available sources (for prospect data).

6. Why we use information

We use personal information to:

  • respond to your enquiries and communicate with you;

  • provide, administer and improve our services;

  • plan and deliver outbound campaigns for our clients;

  • operate, secure and improve the site;

  • send business related updates and marketing where permitted, which you can opt out of at any time; and

  • meet our legal, regulatory and record keeping obligations.

7. Who we share information with

We do not sell, rent or otherwise disclose personal information to third parties for their own marketing or commercial purposes.

We may engage trusted third-party service providers to support the operation of our business and the delivery of our services, including providers of cloud hosting, email, analytics, customer relationship management and other business systems. Where these providers process personal information on our behalf, they do so only for the purpose of providing services to Ignitiony and are required to protect that information.

We may also disclose personal information:

to our professional advisers, such as legal, accounting or insurance advisers;

  • to protect our legal rights, property or the security of our business; or

  • with your consent or where otherwise permitted by applicable law.

We take reasonable steps to ensure that any third parties handling personal information on our behalf do so in accordance with applicable privacy laws and appropriate security standards.

8. Direct marketing and outreach

We may send you business related communications and marketing. All marketing and outbound messages include a simple way to opt out or unsubscribe, and we act on those requests promptly. Our outreach is intended to comply with the Spam Act 2003 (Cth) and, where relevant, the marketing laws of the recipient's location. If you no longer wish to hear from us, or from a campaign we run for a client, use the unsubscribe option in the message or email us.

9. Overseas disclosure

Some of our service providers, or their servers, may be located outside Australia, including in countries such as the United States and within the European Union and United Kingdom. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs.

10. Security and retention

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure, including access controls and using reputable providers. No system is completely secure, so we cannot guarantee absolute security. We keep personal information only for as long as it is needed for the purposes described in this policy, or as required by law, and then take reasonable steps to delete or de identify it.

You may ask us to access the personal information we hold about you, or to correct it if it is inaccurate, out of date or incomplete. To do so, contact us using the details below. We will respond within a reasonable period and may need to verify your identity. In some cases we may be unable to provide access or make a correction, in which case we will explain why.

Where personal information is collected from individuals located outside Australia, we will handle that information in accordance with applicable privacy laws to the extent they apply to our activities.
